When you use SettleBooks, we collect:

  • Account information: Email address and password when you create an account.
  • Settlement files: The marketplace settlement files you upload for conversion. These are processed in memory and temporarily stored for up to 24 hours.
  • Usage data: Conversion counts, feature usage, and error logs to improve our service.
  • Payment information: Processed securely by Stripe. We never store your credit card details.

2. How We Use Your Data

  • To convert your settlement files into journal entries.
  • To maintain your account and subscription.
  • To send you transactional emails (conversion notifications, billing receipts).
  • To improve our service quality and fix bugs.

3. Data Retention

  • Settlement files: Automatically deleted after 24 hours via our storage lifecycle policy.
  • Journal entries: Retained while your account is active. Deleted upon account deletion.
  • Account data: Retained until you delete your account.

4. Data Sharing

We do not sell, rent, or share your personal data with third parties except:

  • Stripe: For payment processing.
  • Sentry: For error tracking (no PII is sent).

5. Data Security

We protect your data with:

  • TLS encryption for all connections.
  • Encryption at rest for stored files.
  • Secure password hashing.
  • CSRF protection on all forms.

6. Your Rights (GDPR)

You have the right to:

  • Access: Request a copy of your data.
  • Rectification: Update your account information.
  • Deletion: Delete your account and all associated data via Settings.
  • Portability: Export your journal entries in CSV format.

7. Cookies

We use only essential cookies for session management and CSRF protection. We do not use tracking cookies or third-party advertising cookies.
